To support its development, Exyte Denmark is looking for a project admin FM/F for its office in Køge. The role consists of supporting and assisting the entire project team in the necessary administrative tasks, as well as participating in the financial management of the project.
Explore your tasks and responsibilities
Under the authority of the Project Manager, you will work in collaboration with the project team.
You will:
- Assist the entire project team in the administrative tasks necessary for the smooth running of the project management of accesses for external contributors, organization of travel, procurement of supplies and equipment, organization of meetings, drafting and dissemination of meeting minutes.
- Run the administrative follow-up of the project: drafting of letters and reports, follow-up of action plans, request for approval files, preparation of a project reports, language translations (Danish to English).
- Participate in the financial management of the project: make purchase requests and acceptance reports, verification and certification of invoices, participation in the monitoring of budgets.
- You will participate in the preparation of all contractual documents and ensure their proper filing
- Inform the Project Manager of any topic that is essential to the progress of the project; more generally, you will ensure the smooth flow of information related to the project or that may have an impact on its progress.
- Respect and apply the provisions of the Quality Management System, as well as all safety rules applicable on the site.
- Minimum of 2 years experienace as an Executive Assistant or Project Assistant or significant professional experience in a similar position in an international context.
- English (company language) and Danish languages (Projects and clients languages) mandatory (read, spoken and written)
- Excellent knowledge of Microsoft products (e.g. Word, Excel, Power Point, Outlook, etc.)
- Communication skills, including writing and verbal skills to interface effectively with all levels of leadership and staff.
- Organizational skills and sense of priorities.
- Knowledge of intercultural environments.
- Autonomous within a team
- Candidates from outside the EU must be in possession of a long-term residence permit, valid for at least one year at the time of hiring.
- Construction and/or Engineering industry experience preferred.
- Ability to work efficiently and possess excellent time management skills
